Job description
JOB DESCRIPTION / RESPONSIBILITIES:
Provide daily administrative support to the executive or project management team
Manage email correspondence, flag priority items, and draft responses when needed
Maintain and coordinate executive calendars, schedule meetings, and follow up on appointments
Create and send invoices accurately and on time
Organize project documentation, contracts, and reports as needed
Liaise with clients, subcontractors, and suppliers for scheduling and general communication
Assist with other office tasks and process improvements to support smooth operations
Requirements
BASIC QUALIFICATIONS:
Proven experience as an Executive Assistant or Administrative Assistant (minimum 2 years)
Excellent communication skills—both written and verbal
Strong attention to detail, organization, and time management
Proficient in using Microsoft Office or Google Workspace
Comfortable managing multiple email inboxes and calendars
Able to work independently with minimal supervision
Previous experience supporting a builder, contractor, or within the construction industry
Experience with invoicing systems or basic accounting tools (e.g., QuickBooks, Xero)
Tech-savvy and able to learn new platforms quickly
Flexible, proactive, and can easily adapt to changing priorities
TYPE OF POSITION, PHYSICAL REQUIREMENTS, COMPENSATION & EXPECTED HOURS OF WORK:
$8 AUD per hour
Full Time Job - minimum of 40 hrs per week
HMO Allowance after 90 days
13th month pay
Work From Home Set up
Can work from 9am to 6pm AUS time
Laptop / Desktop (Minimum requirements 8 GB RAM, i5 processor & Windows 10)
Internet Speed (Minimum of 15 MBPS)
